Cancel and Reschedule Appointments

Give your patients the ability to cancel and reschedule appointments, and save your front desk a call.

Settings in Dashboard

You must be an Administrator or Owner to access these settings.

You have the ability to update your cancel/reschedule settings at any time through the Dashboard. Once you are logged in, they should go “Admin” in the top right, and then “Cancel/Reschedule Settings”. You will see a list of locations that you have access to.

  1. Cancellations

    1. Do not allow - this is what all Direct Scheduling customers will default with. This will prevent patients from canceling appointments through Vyne Dental.

    2. Direct Cancellation - Information is shared with the practice, and the appointment is updated in the PMS to the canceled status.

    3. Cancellation Request - Information is shared with the practice, appointment is not updated in the PMS.

  2. Reschedules

    1. Do not allow - this is what all Direct Scheduling customers will default with. This will prevent patients from rescheduling appointments through us.

    2. Direct Rescheduling - Information is shared with the practice, and the appointment is updated in the PMS.

    3. Cancellation Request - Information is shared with the practice, appointment is not updated in the PMS.

  3. Allow Changes

    1. This represents how many days prior to the appointment patients are allowed to make changes to their appointments through us.

  4. Sidebooking

    1. This defines how many appointments a provider can have at a given time.

    2. Dentrix and Dentrix Enterprise have checkboxes (on or off)

    3. Eaglesoft and OpenDental have picklists where you can define the number of appointments.

At the top right you will see an option for Global Settings. You can use the Global settings to apply settings to all locations, or you can set them on a per-location basis.

What will my patients see?

When a patient schedules an appointment through Vyne Dental, they will receive an email confirmation. The email contains a URL that will allow them to cancel or reschedule appointments if the practice allows it.

  1. Patients will need to authenticate themselves when they click on the link.

  2. They will then need to select if they are canceling or rescheduling their appointment.

  3. Rescheduling appointments will present them with the calendar with new appointments to choose from.

  4. Canceling appointments will ask them to provide a reason as to why they are canceling their appointment.

  5. The patient will receive an email with their requested changes.

  6. The practice will receive an email with the patient’s requested changes.

What will I see when a patient cancels or reschedules their appointment?

You will receive emails when patients make changes to their appointments. The emails contain links that will take the user to the Dashboard. The Dashboard will contain cards on the board for appointment changes. Clicking into a card will show you the details of the changes the patient is attempting to make.
